The Work Behind A Full Dance Floor
Orion Entertainment provides DJs, MCs, and photobooths for Seattle weddings and events. At the time of the project, the business coordinated about 25 part-time staff across hundreds of events a year.
The owners were filling shifts through spreadsheets, emails, and personal text messages. Every assignment required another round of checking availability, reaching out, and confirming the details. Scheduling followed them beyond the working day.
They needed a way for staff to take part in the process, with the event requirements and each person’s availability built into the assignment workflow.
Give Staff A Place To Pick Up Work
Loophole built a workforce management portal within Orion’s existing technology stack. Staff can review open shifts, see upcoming assignments, and confirm work through an interface designed around event staffing.
Eligibility depends on both qualifications and availability. That puts the assignment rules into the workflow instead of leaving the owners to remember every constraint.

Make The Assignment Clear
- 01
See The Work
A shared portal brings availability, open shifts, and upcoming assignments into one place.
- 02
Confirm The Right Person
Qualified, available staff can take open shifts. Owners can see which roles still need coverage.
- 03
Keep Everyone Informed
Automated notifications carry shift updates through the process, reducing individual follow-up.
- 04
Show The Pay
Projected earnings appear with the shift details, so staff have that context when reviewing work.
The handoff took one day, with the business continuing to operate through the transition.
What Changed For The Owner
Scheduling became a shared workflow instead of a collection of private conversations. The owners had a place to review coverage; staff had a place to find and confirm work.
For David Shwartz, the value was the attention he could give back to the rest of his business and his life.
“The time and mental freedom you have taken back for me, to focus on other aspects of my life and business, is priceless.”
